Privacy Policy ─ How we handle personal information

Accel Kitchen LLC (hereinafter "the Company") operates inquiry programs primarily for junior- and senior-high students and KOSEN students. In doing so, it appropriately handles the personal information entrusted to it through inquiries, applications, partnerships, and the like, only to the extent necessary for operating these programs. This policy sets out the types of information the Company collects, the purposes of use, its policy on provision to third parties, externally transmitted information, and how it responds to requests for disclosure and the like.

Personal information we collect

The Company collects personal information in the following situations. In every case it is limited to what you yourself enter, and we do not collect unnecessary information.

  • Contact form (contact.html) — type of inquiry / name / name reading (furigana) / email address / affiliation or school name (optional) / message
  • Inquiry-program application form (modal within cosmicray/) — name / furigana / email address / school currently attended / grade / participation style / how you heard about Accel Kitchen / reason for applying / questions
  • Handmade Club application form (modal within handmade/) — name / furigana / email address / school name / grade / science topic you are drawn to (optional) / reason for applying and what you would like to make / questions / whether parental consent has been obtained
  • Information collected automatically while browsing — IP address, browser information, referrer, date and time of access, and the like. We may collect this on a limited basis for server operation and statistics.

Purposes of use

We use the personal information we collect within the scope of the following purposes.

  1. Operating the inquiry programs, contacting applicants and participants, shipping loaned equipment, and sharing information as activities progress
  2. Responding to inquiries and to requests for press coverage, partnership, speaking engagements, and the like
  3. Identity verification and, when minors take part, confirmation and communication with their parents or guardians
  4. Safety management (supervising online activities and making contact in the event of trouble)
  5. Citation in activity reports, public-relations materials, and research outputs, in anonymized form or with consent obtained
  6. Statistical analysis for improving this service and operating the site (in a form that does not identify individuals)

Provision to third parties

Except with your consent or in any of the following cases, we do not provide or sell the personal information we collect to third parties.

  • When required by law (including responding to legitimate inquiries from courts, the police, and the like)
  • When necessary to protect a person's life, body, or property and it is difficult to obtain the individual's consent
  • When especially necessary to improve public health or promote the sound upbringing of children and it is difficult to obtain the individual's consent

Outsourcing

In operating the inquiry programs, we may share necessary personal information with contractors such as mentors (university and graduate students), researchers at partner research institutions, and delivery providers. When sharing, we first put in place agreements that include confidentiality obligations, and we limit the sharing to the minimum necessary scope.

This site uses the following external services for display optimization and access analysis. Through their use, information about your environment (IP address, browser information, referring URL, and the like) may be automatically transmitted to each provider.

  • Google Fonts (Google LLC) — used to display web fonts on every page. Sent to: fonts.googleapis.com / fonts.gstatic.com
  • Google Maps (Google LLC) — used only to display the location on about.html. Sent to: www.google.com/maps
  • Google Analytics (Google LLC) — used for access analysis on every page (statistical understanding of usage). Usage is measured using cookies and similar technologies. Sent to: www.googletagmanager.com / www.google-analytics.com
  • Google reCAPTCHA v3 (Google LLC) — used to protect the contact and application forms (contact.html / cosmicray/ / handmade/) against fraudulent (bot) submissions. When the forms are displayed and used, information about your environment and actions is sent to Google. Sent to: www.google.com/recaptcha / www.gstatic.com
  • Google Apps Script (Google LLC) — used to receive the contents submitted through the above forms (backend). It is the destination for the information entered into the forms. Sent to: script.google.com / script.googleusercontent.com

For how each service handles information, please refer to Google's Privacy Policy. This site performs cookie-based access analysis using Google Analytics as described above, but it does not install any external scripts intended for advertising. Note that use of reCAPTCHA is also subject to Google's Terms of Service.

Handling of minors

Our programs are intended mainly for junior- and senior-high students and KOSEN students. When a junior-high student applies or makes an inquiry, we assume that the form is submitted after obtaining the consent of a parent or guardian. Where necessary, we may contact the parent or guardian directly to confirm their consent.

08 retention

Retention period and disposal

We retain the personal information we collect only for the period necessary to achieve the purposes of use, and information that has served its purpose is promptly disposed of or anonymized. Information on applicants and participants is retained for the period of participation in the program and the period necessary for preparing annual reports and the like (as a rule, three years after participation ends), and is deleted thereafter. For information whose retention is required by law, we follow the applicable statutory period.

09 your rights

Requests for disclosure, correction, suspension of use, and the like

When the individual or their legal representative requests the disclosure, correction, addition, deletion, suspension of use, or cessation of third-party provision of retained personal data, we will verify the requester's identity and respond without delay in accordance with the law. Security measures

To prevent unauthorized access to, and the leakage, loss, or damage of, the personal information we collect, we take reasonable technical and organizational security measures. Specifically, we minimize access privileges, encrypt communications (HTTPS), securely manage authentication credentials such as passwords, and supervise our contractors.

Amendments to this policy

We may review this policy in response to amendments to laws and regulations, changes to our services, changes in social conditions, and the like. When we make significant changes, we will post the revised content on this page and, where necessary, announce it on the site.
